Safe AI Adoption Workshop · Fixed fee · $3,000
Your team is already using AI. Make it safe this month.
Estimators paste quotes into ChatGPT. Customer service drafts replies in a free tool. Someone in accounting uploaded a vendor contract to a summarizer last week. None of it is written down, and nobody knows what data went where.
In one 3-hour session, we write the rules together. You leave with an AI use policy, an approved-tools list and a staff guide that fits on one page.
The problem
AI use has outpaced the rules.
- 23%of U.S. businesses with 5–499 employees have a documented AI use policy.1
- 35%of small and mid-sized businesses using AI have found unapproved tools, workflows or agents in their operations.2
- 43%of U.S. mid-market leaders name cybersecurity and data privacy as a top barrier to scaling AI, followed by a shortage of AI skills (42%).3
- #1Data privacy and security is the top factor large enterprises weigh when choosing AI agent vendors.4
Most companies didn’t decide to adopt AI
Their people just started using it. The risk isn’t hypothetical: it’s a customer drawing, a price list, an employee record or a supplier contract sitting in a tool you don’t control, under terms nobody read.
Banning AI doesn’t work
A ban pushes use onto personal phones and personal accounts, where you see even less. The fix is a short list of tools people are allowed to use, with clear rules about what data goes where.
The largest companies already work this way. CB Insights’ analysis of the S&P 500 finds governance moving into the core of enterprise AI deployment, because “capability alone isn’t enough.”5 You need the same discipline, sized for a 150-person company.
What you get
- 01
AI acceptable-use policy
Two to four pages. Who can use AI, for what, with which tools, and what happens when something goes wrong.
- 02
Approved-tools list
Every tool your people actually use, rated green, yellow or red, with the account settings that need to change.
- 03
Data-handling rules
Your data sorted into four classes, with a simple grid showing which class can go into which tool.
- 04
One-page staff guide
Plain language. Fit for the break room wall or the onboarding packet.
See a sample deliverable → written for a fictional Grand Rapids-area parts manufacturer.
How it works
How the time is spent.
Who should attend: the owner or GM, whoever runs IT (in-house or your managed service provider), an operations lead, and someone from HR or finance. Six people maximum.
- 01
Before
You send a rough tool inventory, any existing IT or privacy policies, and the three types of data you’d most hate to see leaked. I review them and flag the obvious exposures.
- 02
Hour 1
We list what people actually use, including the tools nobody approved.
- 03
Hour 2
We sort your data into classes and decide the rules for each class and tool.
- 04
Hour 3
We draft the policy language together and agree how it gets enforced.
- 05
Readout
Within 5 business days I deliver the final policy, tools list and staff guide, and we walk through them line by line.
Why Ennis Studio
I build and run production software that handles security data, so I know what a vendor’s data terms actually say and where the real exposure is.
That includes CertIndex, a Certificate Transparency API used for attack-surface monitoring, and years of enterprise technology integration and certification work. I’m based in Grand Rapids and take no affiliate fees or vendor commissions, so the approved-tools list is built for you, not for a reseller.
A good fit if
- You’re an owner, GM, COO or IT lead at a 50–500 person company.
- You know people are using AI and you have nothing in writing.
- You want people to keep using AI, safely.
Not a good fit if
- You need a formal legal opinion or a regulatory compliance audit. Bring your counsel; I’ll work alongside them.
- You want a policy template to download and forget. The free checklist below is a better start.

Questions
Is this legal advice?
No. It’s an operational policy written by someone who builds and secures AI systems. If you have counsel, they should review it before you adopt it.
Will this slow my team down?
It should do the opposite. A clear approved-tools list means people stop asking permission every time, and stop hiding what they use.
We already pay for Microsoft 365 Copilot or ChatGPT. Do we still need this?
Paying for a business account is a good start, but it doesn’t tell your staff what they can paste into it, or stop them using free tools on the side. We’ll check the settings on what you already have.
Our IT is outsourced to an MSP. Does that matter?
Invite them. The policy works better when the people who manage your systems help write the enforcement steps.
Can you come on-site?
Yes, anywhere in West Michigan. Remote works just as well.
What happens after?
Most companies adopt the policy and run with it. Some go on to an AI Opportunity Workshop to decide where AI should actually save time.
